Reports to: Executive Director
Status: Part-time, non-exempt
Schedule: 20 hours per week
Rate: $35 per hour
Benefits: Eligible for a 6% retirement match after one year and free classes based on availability and schedule
Healthcare: This position is not eligible for healthcare benefits
Location: Fully remote; applicants do not need to live in San Francisco
Work arrangement: Fully remote through shared systems and regular communication; attendance at selected FOSAS events may be invited but is not required
About the Role
Friends of Sharon Art Studio (FOSAS) is the nonprofit partner that helps keep Sharon Art Studio accessible, affordable, and community-centered. In partnership with the San Francisco Recreation & Park Department (SFRPD), FOSAS supports specialized youth and adult arts programming, teaching artists, materials, equipment, and community events.
This work helps students of all ages build creative skills, connect with working artists, and participate in a vibrant public art studio in Golden Gate Park.
FOSAS is seeking a Development & Administrative Coordinator (DAC) to help strengthen the systems that support fundraising, communications, administration, and day-to-day nonprofit operations.
The DAC will work closely with the Executive Director and Program Manager to keep information, lists, reports, communications, and recurring workflows organized in a fully remote environment.
A major early priority will be strengthening and documenting FOSAS’s DonorPerfect systems. Using training hours already purchased by the organization, the DAC will help develop standardized database practices, forms, reports, naming and coding conventions, and recurring workflows in partnership with the Executive Director.
This is primarily an internal administrative and coordination role. It is not a public-facing program leadership position. The DAC does not supervise staff, manage programs, or provide teacher supervision.

Although this position is fully remote, the work remains connected to the people, programs, and systems that sustain the studio community. Key Responsibilities

Serve as the operational administrator for DonorPerfect and maintain accurate donor records.

Participate in DonorPerfect training, prepare FOSAS-specific questions, and translate the training into practical database improvements.

Develop proposed standards for database fields, naming conventions, coding, campaign structure, gift entry, acknowledgments, forms, and recurring reports for Executive Director approval.

Configure and test approved DonorPerfect forms, fields, codes, reports, templates, and workflows.

Create and maintain a DonorPerfect data dictionary, database procedures, a system-change log, and a list of unresolved decisions.

Process gifts, acknowledgments, and donor data entry.

Prepare donor, member, and fundraising reports for Executive Director review.

Maintain mailing lists, contact lists, and data hygiene.

Support fundraising campaigns with tracking, lists, and follow-through.

Run recurring reports from DonorPerfect, ActiveNet, and other systems.

Make assigned website and administrative updates.

Support communications logistics, including formatting, links, lists, and scheduling.

Prepare event RSVP lists, check-in materials, and follow-up lists.
-
Document recurring workflows and administrative processes.

Support the Program Manager with forms, lists, tracking, website updates, event administration, and communications tasks.
Qualifications
Strong candidates will bring many of the following:

Experience with fundraising, donor databases, CRM systems, or nonprofit administration

Experience with databases, reporting systems, or data management
-
Experience building, improving, or administering database, CRM, reporting, or information-management systems

Ability to translate organizational needs into practical forms, fields, reports, standards, and documented workflows

Strong organization and attention to detail

Ability to manage recurring workflows and deadlines

Strong written communication skills

Ability to work independently and collaboratively in a fully remote environment

Comfort learning new software and systems
-
Good judgment when handling confidential information
Preferred Qualifications

Experience configuring DonorPerfect or a similar CRM, including forms, fields, codes, reports, data standards, or recurring workflows

Experience with nonprofit fundraising operations

Experience with donor stewardship systems

Experience with Wix or another website platform
-
Experience with spreadsheets, reports, and data exports

Interest in community arts and arts access
